Usage and Limits
Understand how usage is measured in Optimly. We’ve simplified tracking so you can focus on impact, not technical details.
What We Track in Optimly
Unlike other platforms that track raw tokens, Optimly uses clear, actionable usage metrics:
- Monthly Messages: The number of messages your agents handle per month.
- Total Messages Stored: How many past messages are retained in the system for analysis.
- Total Agents: The number of active agents in your workspace.
- Knowledge Items per Agent: How many documents (PDFs, text, web URLs, etc.) are connected to each agent.
This approach gives you better visibility and predictability—no surprises, just clear usage data.
Monthly Messages
Each time your agent sends or receives a message across any channel (web, API, WhatsApp, etc.), it counts toward your monthly message limit.
- Applies to both user inputs and agent responses.
- Resets every month based on your subscription cycle.
- If you reach your message limit, your agents will stop responding until the next cycle or an upgrade.
Knowledge Items
You can upload multiple documents per agent to build their knowledge base (RAG-ready).
- Each item (PDF, page, link) counts toward the per-agent document limit.
- Limits depend on your plan and can be extended via add-ons.
- Deleting a document frees up a slot, but the monthly message history remains unchanged.
Total Agents
Your subscription determines how many agents you can run at the same time.
- Each agent can be customized with its own tone, tools, and knowledge.
- You can disable or enable agents as needed to stay within your limit.
Total Messages Stored
Optimly saves message data for analysis, dashboards, and pattern detection.
- You can see conversation metrics like engagement, abandonment, or top questions.
- Stored messages count toward your storage quota.
- If storage is full, older messages may be archived unless extra space is added.

Track Your Usage
To monitor your usage:
- Log into the Optimly dashboard.
- Navigate to Settings → Usage.
- You’ll find clear metrics on agents, messages, knowledge items, and more.
On paid plans, we’ll also notify you by email if you're approaching your limits.
What Happens When You Hit a Limit?
When you hit a limit, here’s what to expect:
- Messages: Agents stop replying to new inputs.
- Agents: You can’t create or activate new agents.
- Knowledge: You’ll be unable to add new documents until space is freed.
- Storage: Older messages may stop being analyzed unless storage is extended.
To restore full access, you can upgrade your plan at any time.
