Exports and Reports
Optimly's Reports tab lets you create scheduled analytics reports that get delivered automatically to your inbox. This page covers how to build reports, schedule delivery, and export raw data.
📋 Reports Tab Overview
The Reports tab is available from the Analytics dashboard. It provides:
- A report builder to create custom reports with templates
- A report library showing all saved reports and their status
- An execution history of past report runs
- Download and export options for PDF and CSV formats
🛠 Creating a Report
- Open the Analytics dashboard and click the Reports tab.
- Click New Report (or use a template from the template library).
- Choose a report type:
- Daily Summary — yesterday's performance highlights
- Weekly Business Review — week-over-week trends and patterns
- Monthly Strategic Report — long-term insights and business intelligence
- Agent Performance — individual agent analysis
- Customer Journey Analysis — end-to-end interaction insights
- Configure the data scope: select specific agents, date ranges, and metrics to include.
- Add recipient email addresses for automatic delivery.
- Set a schedule: daily, weekly, or monthly.
- Click Save to activate the report.
📅 Scheduling & Automatic Delivery
Once a report is saved with a schedule, Optimly will:
- Generate the report automatically at the configured interval
- Send it to all listed recipients via email
- Store the output in the execution history
You can pause or delete a scheduled report at any time from the report library.
📥 Downloading Reports
From the report library, click any report to open it. You can download:
- PDF — formatted report ready to share with stakeholders
- CSV — raw data for further analysis in Excel, Google Sheets, or BI tools
📊 What Reports Include
Depending on the template, reports can include:

| Conversation volume | Total chats, turn counts, trend vs previous period |
| Response quality | Evaluator pass rates (relevance, faithfulness, etc.) |
| Tool activity | Lead captures, appointment bookings, email handoffs |
| Agent performance | Per-agent breakdown of key metrics |
| Token usage | Input/output tokens consumed per agent |
| Anomalies | Flagged conversations that deviated from normal patterns |
🔑 Subscription Requirements
- Starter and above: access to the Reports tab and basic scheduling
- Scale: full template library, multi-recipient delivery, and CSV export
If you see a lock icon on the Reports tab, upgrade your plan.
💡 Tips
- Start with Weekly Business Review — it covers all the key metrics in a single concise report.
- Add multiple recipients to keep your whole team informed automatically.
- Use CSV export if you want to combine Optimly data with other sources in a BI tool.
- Reports respect the agent filter configured in the dashboard — create separate reports per agent for cleaner data.
